Always Tile & Stone, a commercial flooring contractor, was drowning in manual email processing. Their estimators received hundreds of bid invitations monthly from multiple platforms, each with different formats and structures. We built an AI-integrated app that reads emails, extracts project details, organizes files, and updates their tracking system automatically, cutting manual work by 50% and eliminating missed bids.
The Email Processing Problem
Each incoming bid invitation required a human to read through the full email, identify the project name, GC, bid due date, location, and scope, download all attachments, create a properly named project folder in Google Drive, and manually enter every detail into a tracking spreadsheet. With hundreds of emails per month across 12–15 different platform formats, this consumed hours of estimator time every day, time that should have been spent on pricing and strategy.
How the AI Parser Works
The AI processes every incoming email regardless of format, short invitations, long HTML templates, forwarded email chains, platform-generated notifications, and PDFs attached to plain-text messages. Before running extraction, it first classifies the email: bid invitation, addendum, internal communication, or non-bid noise. Only confirmed bid invitations pass through the full extraction and file organization pipeline, eliminating false positives from cluttering the tracker.
Automated File Organization & Tracker Updates
Once a bid invitation is confirmed and data is extracted, the system downloads all project attachments, identifies plans, specifications, and addenda, creates a standardized project folder in Google Drive with consistent naming conventions, and writes the extracted details directly to the bid tracking Google Sheet (project name, GC, due date, assigned estimator, folder link, and platform source) in under one second per email.
