Preparing bid invitations for estimator review

Project Overview

Bid invitations arrived in different email formats, often with links and attachments that staff had to collect before reviewing a project. Each invitation required project details, a deadline, and a reliable place to find the files.

We built a workflow that classified messages, extracted bid details, organized documents in Google Drive, and updated the Google Sheets tracker. The extraction covered information such as the project name, contractor, location, and due date.

This prepared a shared record for the estimating team. Staff retained responsibility for checking the information and assessing the opportunity. Project details and the original documents remained available for the estimator to check.
